Shipping Coordinator I

Job Description:

NanoString is seeking a professional Shipping Coordinator to join our Supply Chain team. This person will play a critical role in ensuring that orders from our customers around the globe are delivered on time and in full.  Additional responsibilities could include kitting of customer orders, inventory management and receiving.  This is an opportunity for a highly motivated individual capable of operating in a dynamic, fast paced environment.

Essential Functions:

  • Prepare shipping documents such as Commercial Invoices, Pro-forma Packing Lists and Invoices, Shippers Letter of Instruction, and Bills of Lading accurately and completely to ensure that shipments clear customs and arrive at their destination within required schedules.
  • Ensure that all shipments conform to governmental rules and regulations.
  • Coordinate and verify import and export orders and work with customers, freight forwarders and brokers as necessary to ensure on time delivery.
  • Calculate foreign currency conversions. Convert and verify product weights and volumes.
  • Utilize various transportation provider software systems, to facilitate material movement planning and scheduling.
  • Coordinate product delivery schedules with customers.
  • Manage daily activity to track location and movement of inventory finished goods and raw materials domestically and internationally. Provide information to internal and external customers as required.
  • Work closely with providers to assure efficient and effective execution of defined processes and goods transportation.
  • Organize and maintain hard copy and electronic documentation supporting order fulfillment, distribution means, pricing, and contractual obligations.
  • Process customer orders through the NAV ERP system.
  • Verify inventory locations and availability for shipment against requirements specified in purchase orders.
  • Physically package and create shipping documentation for all outbound shipments to domestic and international customers
  • Kitting raw materials into finished goods,
  • Receiving and put-away of raw materials and supplies
  • Operate effectively in our ERP system for goods receipts and to create and process production orders and shipments
  • Fulfill internal orders of consumable lab supplies and reagents
  • Manage on hand inventory and interact with purchasing to ensure sufficient inventory to meet requirements.
  • Conduct periodic cycle counts as required.  Research and resolve all discrepancies.
  • Interact closely with Finance on all inventory related issue resolution.
  • Develop required metrics and reports and ensure timely updates.
  • Other duties as assigned
  • Ensure compliance with all state, federal, environmental, safety, and hazardous waste regulations.
  • Special project support as required.

Requirements

  • 3 -5 years of direct work experience in shipping and receiving in a high-tech industry, or direct experience as a freight forwarder.  Medical Device or Biotech/Pharmaceutical experience preferred.
  • Excellent written and verbal communication skills required.
  • Prior warehouse and inventory management experience preferred.
  • Team player with proven ability to work well under pressure and constant deadlines.
  • Problem solving skills with the ability to seek alternative solutions for dilemmas and problems.
  • Strong attention to detail with excellent follow-up.
  • Working knowledge of Microsoft office Products, especially Outlook and Excel.
  • Professional aptitude, presentation and demeanor.
  • Detail-oriented
  • Can quickly learn new skills and is adaptable to rapid change.
  • Prior International and Import/ Export experience required.
  • Teamwork, Respect, Integrity, Innovation, and strong customer focus.
  • Ability to lift 50 lbs
  • Ability to work autonomously and adapt to change in a fast-paced environment

Additional Qualifications

  • Working experience in the biotech/life science industry is preferred
  • Familiarity with an ERP system, preferably Microsoft Navision
  • DOT and IATA certification preferred.
  • Certification in powered industrial trucks (walkie-stacker, fork lift)
